Recruiting privacy notice

Cypress Labs, Inc. holds our Ashby recruitment account. Cypress Labs UK Ltd is our UK employing company, registered at Africa House, 70 Kingsway, London WC2B 6AH. This notice explains how these companies use your information for recruitment. Contact Josh Hone at josh@workwithcypress.com with questions or privacy requests for either company.

We collect your name, email address, CV and any work links you provide. If you progress, we also keep recruitment correspondence, interview notes and assessments. We use this information to assess your application, arrange interviews and make hiring decisions. Our lawful basis is our legitimate interest in finding suitable people and running a fair recruitment process. Required fields are marked; without your contact details and experience, we may be unable to consider your application. Please leave out information unrelated to the role.

Your information is available to the Cypress people involved in recruitment and the providers we use for applicant tracking, business email, calendars and connected AI assistants. We use Ashby to manage applications. AI tools may extract information from CVs, assist application review, organise and summarise information, and help prepare recruitment materials and communications. People make hiring decisions.

Ashby processes recruitment information in the United States. Ashby states that it participates in the UK extension to the EU-US Data Privacy Framework. Its privacy policy also explains its collection of technical and security information. Contact Josh for information about international processing and copies of the applicable safeguards.

We keep application information while the recruitment process is active. Afterwards, retention depends on the information needed to explain or review the hiring decision, respond to requests or complaints, and meet legal obligations or handle disputes. We consider when the process ended, the type of information, applicable claim periods and any outstanding request or dispute. Information is deleted or anonymised when these reasons no longer apply. If you join Cypress, necessary records become part of your employment file.

Depending on the circumstances, you can request access, correction, deletion or restriction of your information, or receive it in a portable form. Contact Josh using the email above.

Your right to object: You can object to our use of your information based on legitimate interests because of your particular circumstances.
